January – Begin to advertise Scholarships & Scholarship forms available from church office and members of Scholarship Committee
May 1st – Scholarship applications are due in to the CLC church office.
Early May – Scholarship Committee meets to go over applications and award point/dollar values
Mid May – Scholarship Applicants are notified of date of Scholarship Distribution (usually part of Baccalaureate Service)
End of May – Baccalaureate Service – All HS & College Graduates are invited to attend CLC celebration in honor of their graduation. Scholarships are awarded to applicants at this service.
Early August – Scholarship Recipients receive check from CLC for their scholarship
The procedure we have developed and used since 1999 is one based on points awarded to each college applicant in three areas of merit.
1. The first point is awarded for filling out the application. Thus everyone who applies and is a member of Christ Lutheran Church will receive at least one point and some money in the form of a Scholarship.
2. The second point awarded is for first year Freshmen in College. This was first established in 1999 as a result of the previous years’ (1998) very large Scholarship distribution, which would have been to many of the 1999 sophomores, juniors, & seniors. At the time the choice was to weight it in favor of the incoming Freshman.
3. The third category carries the most weight point wise, and is that of known activity and participation in the life and workings of Christ Lutheran Church by each applicant. This is valued at from zero to four points and is established based on the application form information, Pastoral input as to church attendance, Youth Ministry coordinators, as well as knowledge by those on the Scholarship Committee. That may sound very subjective, but some kids are very active and yet very humble when it comes to filling out an application, while others are less active and less humble. Little weight is given to Scholastic Achievement in High School, as there is a great quantity of Scholarships already awarded for that aspect of their lives through the Stoughton School System.
Therefore, an applicant can receive from one to six points.
At present there have been five individuals or families that have established Scholarships either via their Estate Will or through Family Memorials. Those individuals/families are Judith Stolen, Gertrude Haven-Aiken, Olav Hellekve, William Lally, & Timothy Nebel. There is also a Scholarship from Christ Lutheran Church, and since 1998, the CLC Endowment Foundation has granted Scholarship Funds as well. Recently, the Women with a Mission (WAM) church group have also provided additional funds for a Scholarship. The Judith Stolen, Gertrude Haven-Aiken, & Timothy Nebel Scholarships have an added stipulation which requires that they be awarded to a student attending either a Church School/College or Seminary. The CLC Endowment Foundation has the responsibility of investing the Gertrude Haven-Aiken funds for scholarship purposes.
The actual process of distributing the Years’ financial increase begins by establishing the two groups of applicants: 1.) Church Schools/ Colleges or Seminary 2.) State Universities, Technical Schools or other Specialty/Private Colleges. At this point, the points are added up for each of the applicants. A total number of points for each of the two groups are obtained by adding the points together for those applicants in the two separate groups.
The next step is to establish the amounts of funds available for the two groups based on the proportionate amount of an increase from the investments held by the Scholarship Committee and the CLC Endowment Foundation.
Now that we have the Monies available for the two groups and the point totals for the two groups as well, we have divided the monies available for the group by the total points for the group to establish a dollar/point value. The dollar/point value is then multiplied by the individual applicants point total to come up with their Scholarship amount to be awarded.
In the event of an exceptionally good year in the investments held, not all of the increase must be distributed. It is wise to use some of the growth to replenish and grow the Working Capital. The dollar/point value can be established to enable some very nice Scholarships to be awarded but the remainder left invested to increase the Base starting point to a higher level for the years to come.
In the event of a year of loss or no gain by the Scholarship Committee Investments, the policy has been that all applicants are together, regardless of Schools attending, to divide any outside funds that may become available through individual donation or Grants made available through the CLC Endowment Foundation.
